Job Title: Office Manager

Job Location:  Constables Office, Lefebvre Street, St Peter Port GY1 2JS

Main Purposes of Job:


1.    Oversee all aspects of finance, accounting, logistics, invoicing, HR and customer service at the Parish office.
2.    Provide administrative support to the Constables and Parish staff.
3.    Be responsible for the smooth and efficient running of the Parish Office.

Role:

•    Ensure office operations run smoothly, including administration, procedures, and compliance with the Parish Administration Ordinance guidelines
•    Manage finance and accounting processes, including reporting, banking and coordination with auditors and external financial partners.
•    Keep records of expenditure and reconcile accounts.
•    Draft annual budget and present to the Constables by each year end.
•    Oversee HR responsibilities, ensuring compliance with employment regulations and company policies.
•    Set and monitor office staff objectives and oversee the Grounds Team in conjunction with their team leader.
•    Ensure HR records are maintained and assist Constables with staff appraisals.
•    Operate staff payroll.
•    Provide customer service and support internal sales activities.
•    Support project documentation, including health and safety records, contracts, and progress reports.
•    Organise meetings, minutes, and manage correspondence’
•    Liaise with suppliers, contractors and tenants and regularly review service levels and contracts for value for money.
•    Review Insurance policies to ensure adequacy of cover and competitive pricing.

Requirements:

•    Proven experience in a similar management role
•    Strong background in finance, accounting and financial reporting
•    Proficient user of Microsoft Office (Word, Excel, Outlook) Xero and SharePoint 
•    Good understanding and proficient user/administrator of Social Media
•    Experience in HR management
•    Strong organisational and multitasking abilities 
•    Excellent written and oral communication and interpersonal skills
